How to Follow Up After a Job Interview (With Email Templates)

By Zyctra Team · · 5 min read

What you do after the interview matters too. A prompt, professional follow-up shows good manners and genuine interest, and keeps you on the interviewer's mind.

1. The thank-you email (within 24 hours)

Keep it short: thank them, mention something specific from the conversation, and restate your interest.

Subject: Thank you — Operations Coordinator interview

Dear Mr Mensah,

Thank you for taking the time to meet with me today about the Operations Coordinator role. I enjoyed hearing about your plans to open the new Kumasi warehouse, and our discussion about streamlining dispatch confirmed how much I'd like to contribute to that project.

Please let me know if you need anything else from me. I look forward to hearing about the next steps.

Best regards,
Ama Boateng

If you met several people, send each a short, slightly different note.

2. Checking on the decision

If they gave you a timeline, wait until it has passed, then allow two or three more working days. If there was no timeline, wait about a week.

Subject: Following up — Operations Coordinator application

Dear Mr Mensah,

I hope you're well. I wanted to follow up on my interview on 12 September for the Operations Coordinator role. I remain very interested in the position and would be grateful for any update on the timeline.

Kind regards,
Ama Boateng

One follow-up is enough. If you hear nothing after a second polite check a week or two later, move your focus to other opportunities.

3. Responding to a rejection

A gracious reply leaves the door open — companies often come back to strong runners-up.

Dear Mr Mensah,

Thank you for letting me know. Although I'm disappointed, I appreciated the chance to learn about your team. If you're able to share any feedback on my interview, I'd find it very helpful. I'd welcome the opportunity to be considered for future roles.

Best wishes,
Ama Boateng

Common mistakes

  • Waiting several days to send a thank-you.
  • Sending long emails that re-argue your case.
  • Following up every day or on multiple channels at once.
  • Typos in the interviewer's name or company.
