How to Write a Professional Email to a Recruiter

By Zyctra Team · · 3 min read

Recruiters read hundreds of emails a week. The ones that get answers are short, specific and easy to act on.

The basics

  • Subject line: role + your name + one hook. "Application: Staff Nurse (ICU) — Ada Okafor, 6 years critical care".
  • Length: under 150 words.
  • One clear request: a call, a review of your CV, the next step.
  • A professional address: firstname.lastname style, not a nickname.

Template: applying for a role

Dear Ms Bello,

I'm applying for the Data Analyst role (ref. DA-204). I have three years of experience building sales dashboards in Power BI and SQL, most recently cutting monthly reporting time by 40% at a retail company.

My CV is attached. I'd welcome a short call this week.

Kind regards,

Template: a recruiter found you

Hi David, thank you for reaching out. The role sounds interesting, especially the work on payments. I'm open to a conversation — could you share the salary range and whether it's remote or on-site? I'm free Tuesday or Thursday afternoon.

Following up

If you hear nothing after a week, send one polite follow-up in the same thread. Keep it to two sentences.

Mistakes that cost replies

  • "Dear Sir/Madam" when the name is easy to find.
  • Pasting your whole CV into the email.
  • Sending the same message to everyone with the wrong company name.

Ask Zyctra to draft or polish your email in chat — paste the job advert and say who you're writing to.
